Signing quotations digitally (for orders placed directly with Sales team)

This information is applicable only if you have placed an order directly with our Sales team. This is not applicable for orders placed through our website.

For direct order with Sales team, you can sign the quotation digitally using DocuSign. Whenever a quotation has been created for you by our Sales team, an email will be sent from DocuSign. The subject of this email will contain the ticket number as well as the quotation number. In this email, a link will be provided which will bring you to the quotation and you will be able to review the quotation and sign it digitally.

How do I suggest changes to the quotation?

If you do not agree with the quotation and would like to see any changes, please select the ‘Decline to Sign’ option in the ‘Other Actions’ menu at the top right of the document. Afterwards, contact the Sales representative about these changes and a new quotation will be emailed to you.

How do I change the person who needs to sign the quotation?

The quotation will be sent to the contact person provided by the customer. However, if the document needs to be signed by a different person, please do not forward the DocuSign email. To change the signing responsibility, please follow these steps:

  1. Click on Review Document in the email you received from DocuSign.
  2. In the top right corner, click on the Other Actions drop-down menu.
  3. Select the Assign to Someone Else option.
  4. Fill in the correct email address, name and reason before clicking Assign to Someone Else.
  5. This person will receive an email from DocuSign and will be able to sign the quotation.

How do I manually sign the quotation?

If you do not want to make use of the ability to sign your quotations digitally, please contact the Sales representative, and the quotation will be sent to you directly without the use of DocuSign.

I have not received DocuSign email. What should I do?

Please check your spam/junk folder for any emails send from DocuSign. Also make sure there is no auto-forwarding in place from the email address where the DocuSign emails are sent to. Please allow incoming emails from the domains @docusign.net & @docusign.com.


Step 1: (optional) Order verification

For new orders, sometimes we need to contact you to verify it. This is a one-time process to ensure security. Additionally, verification prevents network and content abuse and ensures that Leaseweb complies with legal regulations.  

We always aim to reach out to our customers selected for extra verification within 24 hours. Here are some FAQs about verification.

How do I know if I am selected for extra verification?

If you are selected for verification, you receive an email that you need additional verification. The email will look like the example below:

Why do I need extra verification?

The main reasons for being selected for extra verification include that the provided information in the order form does not add up, the order form was not fully completed, or that you were chosen randomly. To receive your order as quickly as possible, ensure to fill in the correct details. Do you have questions regarding what to fill in? Do not hesitate to contact our Sales team through chat in order to receive assistance.

What do I have to submit and where do I send it to?

Once you have been selected for extra verification, Leaseweb will request you for the following documents in order to complete the verification procedure:

  • Copy of your ID, passport, or another proof of legal identification
  • Business/Individual Entrepreneur Registration Document
  • Proof of address (note, this can not be the same ID or passport already provided)
  • Copy of the Credit Card that was used for the order (when applicable)
  • Copy of the ID of the Credit Card holder that was used for the order (when applicable)

Please note that these should be full color copies of non-digital documents.

When you have been selected for Extra Verification, we will contact you via email. When Leaseweb requests additional documents for verification, this email will always come from one of the below email addresses, depending on the Leaseweb entity you have placed your order in:

What does Leaseweb use your documents for?

The documents you have provided upon our request are solely for the verification of your identity and business. Leaseweb does not share your information with third parties and complies with GDPR. To read more about your privacy with Leaseweb, we would like to direct you to our website

When do I request public PGP key?

In case you do not feel comfortable providing your personal documents without the use of encryption, please reply to the email you have received regarding the extra verification and request our public PGP key.


Step 2: Order confirmation 

Immediately after ordering your service, depending on whether you are a new customer or an existing customer, you'll receive these:

  • New customer: Order confirmation message (after order verification)

    Sometimes, the verification process may take time. If it's not automatically verified, you'll receive an email from welcome@<entity>.leaseweb.com asking you for more information. For example, welcome@nl.leaseweb.com for the Dutch entity.

Step 3: User creation

You will be given access to the Customer Portal to manage your services. You need to create a password for your account. Use your email address as your username to login. For detailed instructions on how to login, please see the article on First time logging in.

Step 4: Order delivery

Once all your order has been provisioned and is ready to use, you'll receive the final email confirming delivery of all your orders.

If you've ordered multiple items, you'll receive the "Order has been updated" email every time a new service has been provisioned for you.


Step 5: Payments

You will receive invoices from us on a regular basis. For delayed payments, you'll also receive several reminders. For more information about payments and changing your payment method, please see article about payments
